How do we run technical documentation reviews with many SMEs? (datasheets, manuals, specifications)
Technical documents such as datasheets, user manuals, specifications and engineering reports are reviewed by many subject-matter experts (SMEs), often in different time zones, and every comment needs an owner and a resolution. This guide shows how documentation teams set up zipBoard for large SME reviews. For why reviews slow down in the first place, see Why is our technical document review taking longer than writing the draft?
Plan note: project boards, and downloading tasks as a CSV, are available on Enterprise and custom plans. See the Pricing FAQ.
Set up the review
- One project per document set (for example a product family), with boards for each round, such as Draft review → Final review → Released. See Review cycles.
- Upload the PDF, or add it by URL if it must stay on your own server. See Review documents that stay on your servers.
- Add required sign-offs as Reviewers so they get an email and the document appears in their Needs my review. Everyone else can comment through one share link. See Mandatory reviewers and Share links.
- Set a due date for the round. See Due dates.
During the review
- Reviewers highlight text and comment on the exact line or figure. Comments can become tasks with an assignee, so each issue has an owner.
- Use tags or task types to group comments by section or by kind (technical accuracy, editorial, legal). See Tags.
- Track who has finished on the file card. See Track reviewer progress.
Next revision
Upload the updated PDF as a new version. SMEs see it under New version since you reviewed, and they can compare versions side by side to check their comments were addressed. See Version control and Compare PDF versions.
Close out and keep a record
Export the comments to CSV as your comment resolution sheet, and download the annotated PDF for the record. See Export review comments for records.
Tips for long documents
- Keep PDFs under about 200 MB for smooth loading.
- If different SME groups own different chapters, upload each chapter as its own file so each group reviews and signs off only its part.
