How to Track Reviewer Progress and Statuses in zipBoard
To track review progress on any asset, open the right-hand Asset Detail Panel. Here, document owners can see individual reviewer badges, aggregate counts (such as "1 of 2 reviewers done"), and live activity timestamps without having to open the file directly.
Managing review cycles with multiple stakeholders often leads to bottlenecks, missed feedback, and confusion over who has actually looked at a file. The Tracking Reviewer Progress and Statuses system provides real-time visibility into every stage of the review workflow. Whether working with internal team members or external clients, document owners can monitor individual statuses, review aggregate project progress, and rely on automated notification triggers to keep projects moving forward efficiently.

Modify Review Statuses in Review View
Reviewers can update their current decision state at any point using the review screen dropdown:

- Changes Requested: Red indicator signaling that issues were found and must be addressed before approval can occur.
- Feedback Given: Amber indicator showing that comments, markups, or suggestions were left without requiring blocking changes.
- Approved: Green indicator confirming the asset is approved as-is with no further edits required.
- Review Complete: Green indicator signaling that the reviewer has finished their pass, regardless of whether they approved or requested changes.
Auto-Synced Reviewer Status

Status changes made on the asset card now automatically sync in real time with the reviewer status in the markup view, eliminating the need for reviewers to manually switch or update their status twice.
Best Practices for Progress Tracking
- Monitor Your Email Inbox to See the latest Update
Every status transition (Changes Requested, Feedback Given, Approved, Review Complete) and Done Reviewing button click sends an immediate automated email directly to the designated content/asset owner.
- Assign Formal Reviewers Explicitly
Ensure team members and guests are formally assigned in the Reviewers or collaborators section inside the asset card, so their completions count toward the aggregate summary block.
Frequently Asked Questions (FAQ)
Q: Who gets notified when a reviewer changes their status or marks a review complete?
By default, only the content/asset owner receives an email notification whenever a reviewer updates their status or clicks Done reviewing.
Q: Can other reviewers on the project see when I mark my review complete?
Yes. Other reviewers can see your status change to Completed (along with a completion timestamp) in the asset detail panel, but they won't receive an email notification unless enabled at the project level.
Q: What is the difference between "Approved" and "Review Complete" in the dropdown?
- Approved: Signals that you approve the asset content as-is and have no objections to moving forward.
- Review Complete: Signals that you have finished your pass, regardless of whether you approved the file, left feedback, or requested changes.
Q: Can a reviewer change their status multiple times?
Yes. Reviewers can transition freely between any of the four status options (Changes Requested, Feedback Given, Approved, Review Complete) at any point during the review process. Each transition sends an updated email notification to the asset owner.
