How do I export review comments for records or an audit? (Comment resolution sheet, annotated PDF, reports)
Once a review is finished, you often need a record of it: what each reviewer said, how every comment was resolved, and the marked-up document itself. Engineering and construction teams call this a comment resolution sheet (CRS) or review comment record. zipBoard gives you three exports you can combine.
Plan note: project boards, and downloading tasks as a CSV, are available on Enterprise and custom plans. See the Pricing FAQ.
1. Comments and tasks as a CSV (your comment resolution sheet)
Export all tasks, a filtered list, or only the ones you select to CSV, then open the file in Excel or Google Sheets. Each row is one comment or task, with details such as its status, assignee and due date. Filter first (for example by file or by status) to export one document's comments. See Exporting data from zipBoard.
Turning the CSV into a CRS: add a "Response" or "Disposition" column (for example Accepted, Rejected or Clarified) and fill it in. Many teams keep the status column as their disposition, using statuses customized to match their process. See Statuses.
2. The marked-up PDF
From the review view of a PDF, download a copy with the annotations and comments included. It's a single file you can attach to a transmittal or file in your document control system. See Download PDFs with annotations and comments.
3. A project status report
Project owners and managers can download a PDF report covering the project's files, tasks, comments and collaborators, for a date range or cumulatively. See Download a project status report.
What about the history of a document?
- Every version of a file keeps its own comments, so you can show what was raised on Rev A and how Rev B answered it. See Version control.
- The project's activity feed shows who did what and when.
- Reviewer decisions (Approved, Changes Requested and so on) are recorded on the file. See Track reviewer progress.
Need a full export of a whole project?
For large projects or audit requirements, such as every file with its annotations in one export, email support@zipboard.co with what you need and our team will advise.
