Tasks in zipBoard: Task Manager, Assigning, Filtering and Finding Your Work

Tasks in zipBoard live in the Task Manager: filter it by Assigned To to see the tasks assigned to you in a project, or open My Work to see what needs your review across all projects. This page also covers creating, assigning, resolving, deleting and downloading tasks.

Watch this video for a quick overview of the Task Manager:

How do I open the Task Manager?

Open any project and click Tasks in the left menu bar. The Task Manager shows every task created in that project, as a table or as a Kanban board.

Use the Show/Hide button at the top right to choose which columns appear in the task table.

What can I do with the Task Manager?

You can create and edit tasks, assign them, and track them through to resolution. For each task you can:

  • Assign an owner so it's clear who is responsible.
  • Set a priority (Critical, High, Medium, Low) so the most important work gets done first.
  • Set a status to show where the task is in your workflow. Statuses can be customized; see Customizing Statuses at the Project Level.
  • Set a due date.
  • Group related tasks into project boards.
  • Add watchers to keep teammates informed about progress.
  • Discuss the task in its comments and mention collaborators with @. See communication routes in zipBoard.

How do I see all tasks assigned to me?

It depends on where you're looking: within one project, filter the Task Manager by Assigned To; across all projects, open My Work to see the files that need your review.

How do I view tasks assigned to me in a particular project?

  1. Open the project and click Tasks to open the Task Manager.
  2. Open the Filters tab on the right side and find the Assigned To filter.
  3. Check your name. The Task Manager now shows only the tasks assigned to you.

Can I see my work across all projects in one place?

Yes. Click the All Assets tab in your dashboard and select My Work. The Needs my review section lists the files across all your projects where you are assigned as a reviewer, with status badges next to each item. My Work also groups files into New version since you reviewed, Changes requested by me, Reviewed, and Due soon & overdue.

A file appears in My Work only if you are assigned as a reviewer on it. For tasks assigned to you inside a project, use the Assigned To filter in that project's Task Manager.

How do I filter tasks?

In the Task Manager, open the Filters tab on the right side and select the values you want, such as your name under Assigned To. To narrow tasks by status, see How to Streamline Your Workflow Using Status Filters.

In My Work, you can filter and sort files across projects by project, status, file type and due date. See How to Filter, Sort, and Customize My Work.

How do I create a task?

Click Add Task at the top of the Task Manager, enter the task details and save. You can also create a task while reviewing a file.

A task can include:

  • The project board it belongs to
  • The file name and screen name
  • The person it is assigned to and the person who created it
  • Status, priority and type (Bug, Enhancement, Feature, Task)
  • Screen resolution

For step-by-step instructions, bulk editing and every task field, see How to Create or Modify a Task.

How do I assign a task to someone?

Edit the task and choose a collaborator in the assignee field.

  1. Click the pencil icon on the task to open the edit dialog.
  2. Click Unassigned on the left side of the dialog.
  3. Select a collaborator from the dropdown.

How do I mark a task as resolved?

Change the task's status to the resolved status.

  1. Open the edit task dialog.
  2. Click the current status.
  3. Select the resolved status from the dropdown.

How do I convert a comment or feedback into a task?

Click Add as Task next to the comment and confirm. This works for any comment, including ones added earlier, and the conversion can't be undone.

  1. In the Comments dashboard, click Add as Task on the right side of the comment.
  2. A dialog warns that the conversion cannot be undone. Click Yes.
  3. Add the task description, type and priority, and assign it to the right collaborator.

What is the difference between a task and a comment?

A task is an actionable item, usually an issue that needs to be fixed, and it can be assigned to a collaborator. A comment is a remark or a conversation with other collaborators. Use a task when you want something fixed; use a comment when you want to discuss it.

To add a comment without creating a task, see How Do I Add a New Comment?

What actions can I take on a task?

Each task in the task table has three actions: edit, open and delete. The creator of a task can edit it.

Why can't I delete all the tasks?

You can only delete tasks you created, unless you have managerial access to the project. Project owners and managers can delete other people's tasks.

How do I download all tasks as a CSV?

What happens to tasks if I delete a project?

When you delete a project, all of its tasks are deleted automatically. For an alternative to deleting a project, see How Can I Archive or Restore my zipBoard project?

What happens to a collaborator's tasks and comments when I remove them?

When you remove a user from an organization or project, the tasks assigned to them are automatically reassigned to the project manager or owner. Their comments and feedback stay in place and are not deleted.
