How to Use Comment Resolution and the New Sidebar in zipBoard

The Comment Resolution feature, paired with the new Review Board Sidebar, makes it easier to track, filter, and manage feedback across your projects. Whether you’re reviewing designs, PDFs, URLs, or Videos you can now search, filter, resolve, and organize comments directly from a streamlined sidebar interface.

The update introduces:

  • Split view for active and resolved comments.
  • Search and filter menus for faster navigation.
  • Role-based comment visibility for internal and external feedback.

1. Accessing the New Sidebar

You’ll see the updated sidebar in three areas:

  1. Main App Review Board – when reviewing files, designs, or videos.
  2. URL Review Board – via the Chrome Extension.
  3. PDF Viewer – when annotating PDFs.
  4. Video Review Board – when reviewing videos

To open the sidebar:

  1. Go to your project and select a file, PDF, URL, or Videos review.
  2. Click the sidebar icon in the file modal or review board.
PDF Review Board – Sidebar showing active and resolved comments while annotating a PDF.
Video Review Board – Sidebar showing time-based comments while reviewing a video.

2. Viewing and Managing Comments

The sidebar displays two tabs:

  • Active Comments – all unresolved feedback.
  • Resolved Comments – feedback that’s been marked complete.

From either list, you can:

  • Open task – view task details.
  • Edit comment – change the comment text.
  • Delete comment – remove the comment permanently.
  • Reply to comment – add a threaded reply.
  • Show replies – expand to view up to 5 replies.

Changes are saved instantly and reflected in the database.

PDF Review Board – Viewing and managing comments on a PDF, including options to open tasks, edit, delete, reply, and show replies.
Video Review Board – Viewing and managing comments on a video, including options to open tasks, edit, delete, reply, and show replies.

3. Resolving and Reopening Comments

  1. Find the comment you want to resolve.
  2. Click the Resolve button:
    • Moves it to the Resolved Comments tab.
    • Hides its annotation in the canvas.

Click Resolve again to reopen it (moves it back to Active).

💡For PDFs, you can also mark comments as Completed. To view them, go to Filter → Status → Completed.

4. Searching and Filtering Comments

The sidebar includes:

  • Search Bar – start typing (minimum 2 characters) to find comments in both active and resolved lists.
  • Filter Menu – narrow comments by type or other criteria.

If many comments are present:

  • The sidebar lazy-loads comments, showing 10 at a time.
  • Scroll to load more.
PDF Review Board – Searching and filtering comments on a PDF using the search bar and filter menu.
Video Review Board – Searching comments on a video using the search bar.

5. Role-Based Comment Visibility

Permissions determine which comments you can see:

  • Elevated Users (Collaborator, Admin, Super Admin, Owner, Manager): Can see and manage all comments (internal & external).
  • Clients: May have full comment access or external-only view, depending on project settings.
  • Guest Users: Cannot resolve or delete others’ comments and cannot see internal comments.

These settings are configured in the Share Modal of the review board or file modal.
